Position Overview & Responsibilities
Labour & Logistics Scheduling
Ensure proper scheduling of personnel and transportation for confirmed events.
Coordinate with Sales/Operations to ensure event labour and logistical requirements are accurate.
Designate crew leads and communicate project scope, execution plan and crew responsibilities.
Confirm venue elements such as load in procedures, power, loading dock permissions, etc.
Arrange any required travel requirements, or per diem requests for assigned crew members.
Focus on revenue maximization & cost control, in accordance with company operating procedures.
Develop policies, procedures, and workflows.
Employee & Freelance Administration
Provide direct supervision of employees and freelancers, including; managing personal information and qualifications, timekeeping, approval of invoices and performance appraisals.
Promote motivation, communication, teamwork and positive attitude between all employees.
Document process improvements and identify opportunities to define standard operating procedures.
Build relationships and negotiate rates for outside labour.
Recruiting & Selection
Evaluate staffing levels to ensure adequate resources are available for daily activities.
Assist with the determination of pre-employment requirements
Create and/or update job postings and participate in interviewing process, as needed.
Provide training and support to all new hires and ensure they have required equipment and access.
Sales & Operational Support
Support Account Executives with the preparation of quotes and work orders from both a technical and labour requirement perspective.
Produce and prepare event documentation including, but not limited to, the creation of floor plans, production schedules, wiring diagrams etc.
Assist the Operations Manager in carrying out daily operational duties including, but not limited to, testing inventory, loading/unloading trucks, preparing for shows, general cleaning and organization.
Arrange cross rentals of equipment when needed.
Ensure proper scheduling and tracking of truck maintenance, reports, and inspections.
Assist with show delivery/set-up/dismantle as needed.
2+ years audiovisual technical experience, with at least 1 year of supervisory experience in a similar role.
Ability to manage multiple requests and rapidly changing priorities in a fast-paced environment.
Capable of dealing with problems quickly and effectively.
Strong organizational skills and attention to detail are a must.
Solid written and oral communication skills.
Effective leadership and supervisory abilities.
Self-motivated, able to work both in teams and independently with minimal supervision.
Capacity to read, analyze and interpret technical information and equipment specifications.
Auto CAD knowledge /experience an asset
Valid Ontario Driver’s License and ability to drive trucks up to 26’ is an asset.
Ability to lift 50 lbs
